Quickstart Guide – Create a beautiful invoice in 5 mins with Invoice Ninja
1 Create Your Free Account, Confirm Your Email, Log In
2 Upload Your Company Logo & Details.
This is the only bit that is a bit tricky to figure out at first. On your dashboard, scroll down until you see the ‘settings’ icon on the bottom left of the page. If you are on a smaller screen the option for “Settings” might not be visible until you scroll down to the bottom! Click on “Settings” and add your company details such as business name, email, phone, etc. These fields will feed into the invoices you create. If you want to add another company, you can, but this gets a bit more complex. If you add a second company, it works like having a separate account that you can switch to within the same Invoice Ninja login. The customer details are linked to the company, so if you set up a customer in company 1, you won’t see that customer’s details if you switch to company 2. For now you probably only need one company, so let’s get that set up and then you are ready to generate invoices!
3 Add a client
Include the details about your client, these details will feed into the invoice, you can add up to 100 clients on the free plan.
4 Create an invoice
The interface is very intuitive and you will easily see what to do. Underneath the area where you are creating your invoice, scroll down and you will see a preview of your invoice. Choose a client and now check the preview to see both your business name and the client details feeding into the invoice. If you want to add some extra details, just save your invoice as a draft, go back to Settings (to change your company details), or go to Clients (to change the client’s details) and make whatever changes you need.
When you are done creating your invoice you can download it and send to your client, or there are options to email it from within the Ninja Invoice system.
5 Enable Your Payment Gateway
This is optional, the simplest method is to simply download your pdf and email it to your customer yourself, in this case, there is a section for notes within the invoice, where you can add payment instructions such as your direct debit details.
